VEHA Board of Directors Meeting, Ashland, VA - 8/22/06

ATTENDING MEMBERS: Preston Smith, Eric Myers, Ed Dunn, Guerry Beatson, Amy Pemberton, Richard Michelback, David Fridley, Sarah Snyder.
ITEMS DISCUSSED
Elections
Ballots were mailed out on Friday, August 18, 2006 sixty days prior to the Annual Business meeting. They are to be returned to Eric Myers for count.
Amy to check on the possibility of using an online service for ballots for next year, (“Survey Monkey”).
Newsletter
Sarah has been working on the next edition of the Newsletter. She is requesting articles about what is happening around the state with regards to EH. Newsletter will continue to be sent out quarterly.
Website
Amy reports that website is almost ready for uploading to the web! Exciting news. Need pictures of EH related topics. Everyone to forward any pictures to Amy or directly to Pam for addition.
Fall Educational Workshop and Annual Business Meeting
To be held October 20, 2006 at the Monticello Conference Center in Charlottesville, VA in collaboration with CASA.
Nicole & Cecil to serve at registration table. Receipts need to be broken down between membership dues and fee for workshop. Exhibitors will pay $150, attendees $25. Amy to inquire with Jason to see if he will be able to contact vendors. Also need vendors from disciplines besides onsite ….. check with Catherine Cummins about possibilities for additional vendors, and about CASA participation.
David to nail down speakers and send out final agenda soon. Has several speakers lined up, still waiting to hear from NEHA president about his participation. Decision made to have installation of new officers at the beginning of the program. David to send article about the spring workshop to Sarah for addition to the newsletter.
Check with Catherine about posting workshop on the CASA website. EH Complaints course to be held on 10/19/06. Registration limited, contact OEHS for info. To be held at the Charlottesville HD (?)
David please contact Board members if need for any computer equipment
Sarah to get form distributed for pre-registration for workshop
Board decided on offering a $2.50 (10%) discount to attendees that pre-register
Preston working on details of lunch. He has contacted several catering companies for estimates. “Big Jim’s Barbeque” ($13/person), “V meals”, and grocery stores for platters, etc.
Treasury
Sarah gave out update on treasury by providing a Comparison report of 2005 and 2006. Expenditures this year totaled $4,615.19 so far, as compared to $1,512.87 in 2005. See treasury report from Sarah. Sarah has made contact with Rich Flannery and has retrieved all documents that were in his posession. Rich has officially resigned as treasurer, and Sarah is going to maintain treasury until replacement can be found.
Transfer of accounts to Sarah following meeting, Eric, David, Richard, Sarah, and Amy made visit to Wachovia to transfer names on signature card, and forwarding address to Sarah.
Discussion of Student Scholarship CD renewal date 8/21/06 at Bank of America. Vote to change current CD to 5 month risk free CD at 4.35% from current 2.85%. During post meeting visit to Bank, decision made to close CD at BOA, and transfer to Wachovia Higher rates (see Sarah for details).
Other Announcements
Discussion of Sewage Advisory Committee. According to Don Alexander, Pam Pruitt has been attending meetings on behalf of VEHA, but no updates have been made available to Board. Decision to request quarterly updates in person by Pam, and contact via email as necessary for additional updates. David F. to contact Pam.
